Work Purpose
- The function will be is accountable for the complete scope of Lease Management services which includes: abstracting and interpreting industrial/residential lease paperwork (leases, amendments), billings, selections, tenant and renewals lease compliance issues.
Leasing Administration:
- Assist in the brand new / renewals
- Study and interpret leases, full abstracts, and function with the finance group to insure precision of lease accounting for economic reporting
- Monitoring and maintaining important dates, which includes timely issuance all notices specifications, from pre-opening through starting and eventual termination.
- Tracking and maintaining vital lease dates
- Provide evaluation of lease conditions (co-tenancy clauses, termination legal rights, assignments and subleases, tenant and landlord obligations, etc.)
- Create and distribute critical time ticklers from month to month for monitoring dates of lease expirations, option notices and lease increases to guarantee compliance with the conditions of the leases
- Ensure terms are precisely documented on official types and records Set upward recuperation pools
- Data access, validation and administration of lease
- Ongoing upkeep of data source of lease abstracts and details upon the occurrence of amendments, new locations, expirations, etc.
- Update tenant information, status and dates
- Update recurring charges (rents, common area maintenance estimates etc.)
Reporting and communications:
- Rent variance analysis and rent payment processing to make sure accuracy and lease compliance
- Financial analysis as required
- Respond to questions from internal staff and tenants regard to procedures, lease interpretation, and billing calculations, and lease compliance issues.
- Use partners/external clients would consist of preserving lease summaries, recurring payments spreadsheets and pending items reports, and keeping property lease files relating to set up standards
- Client/landlord relationship management
- Prepare composed correspondence to tenants and clients Client/vendor/landlord relationship management
- Answer lease associated questions
- Track new and expiring leases
- Provide regular and frequent status reports to any or all parties
- Coordinate with the FM Managers for the timely submission of tenant surrender forms and other lease updates prior to working the monthly rent roll.
- Prepare and review monthly rent roll reports for accuracy.
- Review rental statements and invoices for accuracy, as well as for extra service charges which need verification from the lease
Lease Compliance:
- Ensure client compliance with the terms of the leases, which includes issuing notices to tenants.
- Track important transaction dates to make sure timely completion
Lease collections:
- Help out with the billing/collections of tenant rents
- Issue accurate and timely billings to Tenants
- Resolution of rent along with other landlord/tenant issues
- Issue collection letters, create collection calls, coordinate with Finance and legal for collection escalation needs
- Deal with landlord communication where charges have to be challenged
- Make certain that the Percentage Rent or Gross Sales provisions of the leases are usually adhered to.
- Maintain the integrity of lease data file systems
