Work Purpose
- The role will undoubtedly be is accountable for the entire scope of Lease Management services which includes: abstracting and interpreting industrial/residential lease paperwork (leases, amendments), billings, selections, tenant and renewals lease compliance matters.
Leasing Administration:
- Assist in the brand new / renewals
- Read leases, complete abstracts, and use the finance group to insure precision of lease accounting for economic reporting
- Monitoring critical dates, which includes timely issuance all notices specifications, from pre-opening through starting and eventual termination.
- Monitoring and maintaining essential lease dates
- Provide evaluation of lease conditions (co-tenancy clauses, termination legal rights, assignments and subleases, tenant and landlord responsibilities, etc.)
- Create and distribute critical time ticklers monthly for monitoring dates of lease expirations, choice notices and rent boosts to make sure compliance with the conditions of the leases
- Ensure conditions are precisely documented on official types and records Create recovery pools
- Data entry, administration and validation of lease
- Ongoing servicing of data source of lease abstracts and details upon the occurrence of amendments, new places, expirations, etc.
- Revise tenant information, position and dates
- Up-date recurring charges (rents, typical area upkeep estimates etc.)

Reporting and communications:
- Lease variance rent and evaluation payment processing to make sure precision and lease compliance
- Financial evaluation as needed
- React to questions from inner tenants and staff respect to procedures, lease interpretation, and billing calculations, and lease compliance problems.
- Use partners/external clients would include maintaining lease summaries, recurring payments spreadsheets and pending items reports, and maintaining property lease files in accordance with established standards
- Client/landlord relationship management
- Prepare written correspondence to tenants and clients Client/vendor/landlord relationship management
- Answer lease related questions
- Track new and expiring leases
- Provide regular and frequent status reports to all parties
- Coordinate with the FM Managers for the timely submission of tenant surrender forms along with other lease updates ahead of running the monthly rent roll.
- Prepare and review monthly rent roll reports for accuracy.
- Review rental statements and invoices for accuracy, in addition to for extra service charges which require verification contrary to the lease
Lease Compliance:
- Ensure client compliance with the terms of these leases, including issuing notices to tenants.
- Track important transaction dates to make sure timely completion
Lease collections:
- Help out with the billing/collections of tenant rents
- Issue accurate and timely billings to Tenants
- Resolution of rent along with other landlord/tenant issues
- Issue collection letters, make collection calls, coordinate with Finance and legal for collection escalation needs
- Handle landlord communication where charges have to be challenged
- Make sure that the Percentage Gross or Rent Sales provisions of the leases are honored.
- Keep up with the integrity of lease data file systems
Behavioural Competencies
- Proficiency in MS Office – Word, Excel, PowerPoint, etc.
- Capability to understand and interpret residential / retail / commercial lease documents
- Capability to communicate both verbally and on paper
- Experience in tenant relations
- Able to meeting tight deadlines and turning documents around quickly
