Lady HSE Administrator – Safe Green Safety Consultancies – Abu Dhabi

Required Qualifications – Will need to have HSE Administrator Experience in FM Industry

· Bachelor degree or higher national diploma in administration, secretarial studies or every other related course

· Any specific trainings such as for instance time management, MS office skills, report writing, etc. preferred

Required Knowledge and Skills

· 03-04 years of overall experience in FM industry similar or large projects, airports, hospitals and large malls as HSE administrator, coordinator, assisitant, etc. Museum experience is highly preferred

· Minimum 02 years clerical or administrative experience in similar role

· Ability to organise and prioritize as per requirements

· Fluency in English both written and spoken

· Demonstrate written and oral communication skills

· Demonstrate ability to work independently and as a team

· Proficient with Microsoft Office software (Word, Access, Excel, PowerPoint)

· High degree of discretion dealing with confidential information

Duties and Responsibilities

· Provide administrative support to the HSE team in ensuring the implementation of LAD HSE management system

· Ensure filing and transferring of received information into standard reporting/approved documentation formats

· Utilise automated HSE management system processes for HSE data and information needs

· Follow up/track level of accomplishment of action items derived from agreed action plans between HSE and other departments

· Liaise with internal and external teams ensuring through assistance that required HSE reports are compiled and prepared in a timely manner. Review the HSE reports for accuracy and completeness

· Record, document and publish meeting minutes. Provide support in maintaining team’s calender of official enggagements

· Distribution and logging of HSE communications (alerts, bulletins, etc.)

· Assist in the compilation of incident information to identify incident trends

· Assist in the development of HSE themes and campaigns

· Ensure all documentation is in compliance with the LAD HSE management system

· Maintain document control requirements for HSE documentation received or prepared

· Establish and maintain HSE registers, databases and statistical data entry

· Ensure the efficient distribution of internal and external HSE communciation as advised

· Perform data-entry, documentation, printing and filling duties

· Manage and distribute HSE documents

· Ensure HSE filing system is maintained and up to date on the team’s shared folder

· Any other duties assigned in relation to HSE process management (such as PTW process, Risk Management)

· Provide training to HSE staff on filing and database encoding

· Generate necessary statistical reports as requested

· Compile statistical information for HSE managment as required

· Maintain HSE team’s inventory including PPE and stationery

· Filing, communicating and monitoring of duty and training rosters with staff shift deployment plans

Contract length: 24 months
