Work alongside Owners Committee in knowing its restrictions and obligations and offer advice as requested. • Co-ordinate and function alongside with Facilities group to monitor and make sure that yearly FM tendering is set up promptly. • Co-ordinate and function alongside with Finance/ Specialized team to get ready the annual cover the next financial year and offer advice on Common and Reserve Fund specifications to the OA. • Function along with Financing for the submission of draft spending budget and Audits to third party Auditor’s and RERA for acceptance. Ensure Draft Audits and Budgets are ready and all essential approvals with senior administration is taken. • Preparing and publishing quarterly, or yearly management reviews on neighborhood portal. • Draft Neighborhood Notices for HOAM- Supervisor review and help the OA if lawful action is required to recover outstanding Services Charges. • Attending to Constructing specific complaints from Proprietors and Tenants and escalate it to HOA- Supervisor. • Be considered a right section of Budget preparation team alongside Finance. Involved with submission of Service Cost file to third party RERA and Auditor’s for approval. • Issuing all needed reports to Committee relative to RERA rules e.g., reserve fund study, alternative party audit report, condition report, quotations, proposals, and comparative reports • Establish and keep maintaining record system of most correspondence between Owners, Residents (occupiers) along with other relevant parties, and records to end up being held pursuant to law (registration documents). • Draft and distribute monthly OA management reports to Committee and all Owners. • Together with Facility team perform regular inspections of the normal areas and common facilities and Building assets. • Monthly walk around with HOA- Manager and Owners Committee if required. • Manage the investing of the budget by maintaining a track on Budgets Vs Actuals. • Ensure the Owners Association stay in full compliance with all local regulations, which includes Civil Defence, Dubai Municipality, Dubai Land Department & any related Government Authorities. • Management of information of most OA and Structures related correspondences. • Overview of BMS/JOPD/Master and Community Rules statement (as could be required). • if work needs Occasionally, essential to work late hours or weekend work or home based according to the nature of emergency predicated on operations which is instructed by departmental Senior Management. • Ensure customer support calls/ Contact Centre Tickets and follow ups are usually done by the client service team in line with the departmental standard working process (S.O.P). • Capability to maintain a high degree of Perform and confidentiality any extra responsibilities as instructed by HOAM-Manager. • All Exterior and Internal emails need to be responded within 48 Hrs with feedbacks/closure/upgrade status.
